What we collect
Your details. Your name, phone number, email address, address, and how you heard about us.
Your pet's details. Your pet's name, species, breed and age, and its health and treatment records.
Payments. What you paid and when. Card payments are handled by our payment provider, and we do not keep your card number.
Your messages. What you tell us when you call, email us or fill in a form on our website.
Website visits. How people use our website and how they found it, collected through cookies.
Most of this comes straight from you when you book, call, visit or email us. Some comes from others involved in your pet's care, such as your previous vet or a laboratory.
How we use it
We use your information to care for your pet, keep accurate records, book and confirm appointments, send reminders for vaccinations and check-ups, take payment, and answer your questions.
We also use it to meet our legal and professional obligations, and to understand how people find us so that we can improve our service and spend our advertising sensibly.
Who we share it with
We share customer details with service providers, including Google, to perform services on our behalf. We only share what each one needs, and we never sell your information.
- Service providers that help us run the clinic, such as our practice software, online booking, phone, website and payment providers, and our marketing agency. They may use your information only to provide their service to us.
- Google, for website analytics and advertising, as explained below.
- Laboratories, specialists and emergency hospitals involved in your pet's care.
- Your pet insurer, when you ask us to make a claim.
- Microchip registries, local councils and government agencies, when the law requires it.
Our advertising
We advertise on Google. So that we do not keep showing our ads to people who are already our clients, we may share your email address and mobile number with Google in a scrambled, coded form. Google uses them only to keep our ads away from existing clients, and never receives anything about your pet.
If you would rather not be included, email us at info@vet-o.com.au and we will take you off the list. It makes no difference to your bookings or your pet's care.
Phone calls
We may record calls. If we do, we delete the recording within 30 days.
Cookies
Our website uses cookies, including from Google Analytics and Google Ads, to understand how the site is used and which of our advertising works. You can block or delete cookies in your browser settings, and manage the ads Google shows you in your Google account settings.
Reminders and messages
We send reminders about vaccinations, treatments and appointments by SMS or email. We only send promotional messages if you have agreed to receive them, and you can stop them at any time.
Storage and security
Your information is kept in secure, password-protected systems, and only people who need it for their work can see it. Our practice records are stored in Australia. Some of the services we use, including Google, store information overseas, including in the United States. We keep records for as long as the law and our professional rules require, and then delete or de-identify them.
Seeing or correcting your information
You can ask to see the information we hold about you or your pet, or ask us to correct it. Email info@vet-o.com.au or ask at reception. We usually reply within 30 days, and there is no charge for asking.

If you have a question or a concern about how we have handled your information, please contact us first and we will do our best to resolve it.
